Board Meeting
September 24, 2002, 7:00 p.m.

The meeting was called to order by President, Phil Melangton. Present were: Jerry McClatchey, Karla Kindrick, Jim Peters, Joe Fistrovich, Janice Kovach, Doug Harvey, Amy Fistrovich and Jean Aikman.

President: Phil. NP United night at NPHS was September 11, 2002 at 5:00 p.m. and not attended well. Next year advertise better and earlier. The League Newsletter was received Saturday, September 21, at 10:30 a.m. due to the tornado on 9-20-02 so it was not distributed. The next newsletter will go out Saturday, September 28.

Vice President: No report.

Treasurer: Joe. Balance is $14,800.00. Bills to be paid - $1,600 for trophies, $600 for remaining games for referees, $100 misc. uniforms. Discussed lap top computer. Motion was made by Jean Aikman, seconded by Doug Harvey to: Purchase a lap top from Sam's Club, cost not to exceed $1,600.00. Motion unanimously passed. The next expense that the league is facing is field maintenance costs and new nets and equipment for Spring, 2003.

Secretary: Jean. No report at this time.

Team Rep. Coordinator: Janice. Team rep. meeting went well. Team reps are doing a great job.

Coaching Director: Jerry.  Youth Module IYSA - Approximately 32 people participated in the training after the coaches meeting on August 16, 2002. Fantastic!! Coaches should be receiving their certificates of completion in the mail at this time.
MLS Camp - Some children did not get their evaluations/certificates from the camp. Jerry will compare different groups that put on summer camps and get back with the Board with the comparison figures.
Coaches Meeting - August 16, 2002 5:30 - 8:30 p.m. at Sugar Creek Elementary Approximately 70 people attended which included many assistant coaches.
Travel - Derek Brown is getting a proposal together for Spring, not received yet.
Best Coach Award - A separate sheet of paper will be attached to the 9-28-02 newsletter for the essays. (Jim will e-mail Jerry the form, Jerry will copy and get to Karla by Friday to collate with newsletters.) Extra forms will be available at the concession trailer and the white board will be used to advertise this.
Registration for Spring - Early Bird Registration will be October 19, 2002 at the fields during play. A $5.00 discount will be given per child for sign-up on 10-19-02 only. Fees: $40 U6 and $50 U8 and up for returning players. $50 U6 and $60 U8 and up for non-returning players. No multi-family discount will be given for Spring. Discounts for Coaches and Board are per season, not per year. Send a postcard in January or February reminding players to sign-up when registration dates are set. We will try to give coaches the list of players from their team who have not yet signed up and ask the coaches to call those kids.
Registration Form - Add a reminder that practice times can be anytime M-F 5-8 p.m. and if parents have scheduling problems to please list them on the registration form. All special requests are granted at the Board discretion. On the mail-in form - move the uniform sizing information up to the parent fill-in area. List on the information sheet that there is an additional fee (optional) for the Snack packs $6-9.
Brandywine Auction - Board approved a Free Registration for the Brandywine Auction for Recreation League only. Jerry will make the Certificate.
Doe Creek Soccer - Request approximately $200 for fertilizer for the field behind Sugar Creek Elementary playground. Check with Jeff James and the Coop in Greenfield for better pricing. Board approved.

Registrar: Reported by Phil for Karen - All paperwork was turned in on-time to CIYSL. Referee Assignor: Dana needs paid for assigning referees. $2 per rec game and $3 for travel. Jerry and Dana will get with Joe with the amount.

Uniform Committee Chairman: Rec. Jim. - Compliments were given to Jim for the uniforms. They look great and all went well with distribution. If the newsletter has not been finalized, need to put a line in about the extra uniforms need to be turned in at the concession trailer. If newsletter is final, put a note on the white board and Jerry can e-mail the coaches. Need to survey coaches, assistant coaches and see if they would like a white NP United shirt or a "uniform shirt".

Field Maintenance: Chris is coming up with a proposal for cost for Spring.

Rec. League Coordinator: Phil for Ali. First week there were a few challenges with the parking, parade, and pictures. Second week went great.

Travel League Coordinator: Amy. Trainer evaluations are in and will be looked at closely. A few notes: 1. Parents need to be informed of the cost at sign-ups/tryouts and the costs explained. 2. Eighteen children at once is not effective for the training. 3. Not all coaches were at the training sessions. Need to be there to get the children stretched, and be sure they pay attention. Need to be there to see what training takes place so the skills can be reinforced at later practices. 4. Derek sent another trainer in his place one night and that was not a good session. NP United should pursue getting corporate sponsorship for tournament play.
Concession Chairman: Karla's Cafe. The concession is doing well. Hot dogs, hot chocolate and coffee are very much appreciated by spectators. Snack pack money was turned in and 329 out of 343 players are participating this season.

Publicity Chairman: John needs to follow-up on voice mail only pricing and new housing developers from last meeting. Any idea where Amy's pictures went? Not on web site. Best if we e-mail pictures to John from now on.

Registration Chairman: Position still open. October 19, 2002 Early Bird Registration at the fields. Need to be sure that registration software is on the lap top before October 19, 2002 - Phil and Ali.
Awards/Pictures Chairman: Picture day was not as efficient as we had hoped. We will list two cameras and at least two registration people on the bid specifications for Spring. Spicklemire did not send enough people. Picture Chair needs to coordinate schedules with game schedules for more efficiency. A U12 girls team did not have their pictures taken because the photographer left earlier than promised. Pictures need distributed October 12, 2002. Awards were ordered from B & R Engraving 9-24-02. 348 ordered and will be distributed on October 19, 2002.
