Board Meeting

May 12, 2004 7:00 p.m.

 

The meeting was called to order by President, Phil Melangton.

Present were: Jean Aikman,  Doug Harvey, Jerry McClatchey and Ali Basaran. Beth Dockins stopped in for a minute.

President: Phil. Cell phone.  The prepaid cell phone that we used in the Fall was disconnected because of lack of use.  We may not be able to get the number back.  We need a phone for conditions, etc.  Vote was taken to have Phil add a line onto his personal cell phone at a cost of approximately $25.00 per month.  NPUnited will pay for second line.  Phil let Brian Kramer know the new number for the last newsletter of the Spring.

            Phil will attend the June 1, 2004 Parks Board meeting to ask for extra funding for new nets to comply with the new team configurations for Fall.

            Need to ensure that a Board member is present as a Field Marshall for each day of rec play.  Any issue can be addressed as it happens.

            Board Discount fees:  As committee members and not chairpersons, board members will receive $20.00 discount.

Vice President: Jerry for Maria.  Andy Harrison would like to take over the position of VP to oversee travel for next year.  Welcome Andy to the Board.

Treasurer:  Joe filed taxes for last year.  We are due 5 months after close of season.  Need a CPA to help out and ensure that we are on track.  Nikki Wheeler will be called by Jean for assistance. 

Secretary: Jean. Minutes approved from March meeting.  

Team Rep. Coordinator.   No report at this time.

Coaching Director: Jerry.  Looking into hiring trainer for travel league.

Soccer is now a school-sponsored sport at Doe Creek Middle School – approved at the School Board meeting May 10, 2004. 

Registrar: No report at this time.

Referee Assignor: No report.  All will be provided for.  We have faith in Dana.

Fund Raising Chairman:   Phil for Ryan.  We have had some responses from the letter sent out with the newsletter.  No cash from it yet but positive feedback is a good sign.

Uniform Committee Chairman: Rec. -  Ali for Beth.  Thank you ladies for a great job.  Uniform distribution went well for the season.  A few teams had numbers falling off but most of the work was done well and all children were uniformed.  Next season Beth will check into going back to the multi-colored shirts and not the pro uniforms.  Too many colors were too similar and there are only twelve uniforms to choose from.  The multi-color uniforms should relieve some of the confusion that occurred on the field.

Field Maintenance:  Big, big thank you to Joe and Brian for all of their hard work throughout the season.  New trash barrels purchased ($5.00 x 4). Sprowl did not cut this Spring.

Rec. League Coordinator: Ali.

            Registration for Rec League:  Early Discount only May 22, 2004.  During the Excel Camp July 7 and 8, 2004 and July 17, 2004 9 a.m. to 1p.m. at McDonalds.  The Codes of Conduct will need to be signed by all players, coaches and parents for the rec league.  Fall will be a 7 game season beginning September 11, 2004 and ending October 16, 2004  One weeknight game early in the season due to darkness.

            Small sided play:  The CIYSL, our sanctioning board for Central Indiana has decided that all leagues will play small-sided play with no goalie until age 12.  This impacts our league tremendously with need to purchase more goals, a greater number of teams therefore, more coaches needed, more nets and a total reconfiguration of our fields. 

            Spring Fees:  No discount for additional players per family.  Increase in uniform costs, coaches discounts, referee fees, etc. for small-sided play.

            Summer Camp:  Dates:   July 6,7,8,9, 2004.  Housing still needed for the coaches that come from Pro-Excel.  Mailing labels given to Pro-Excel for mailing 1st week of June.

Travel League Coordinator: After much discussion, it was decided that U12 Boys will not attend summer camp as a team with Pro Excel.  The monies will be applied toward a trainer fee.  The trainer will be at 15 practices throughout the season with coaches present to ensure consistent application of trainer skills taught.

Travel Costs – Uniform cost $85.00 or $60.00 for returning player (discount for white alternative.  Includes jersey, shorts and socks.  $165.00 for league and training fees additional to uniform costs.  $160.00 deposit required by June 25, 2004.

Travel try-outs will be June 8 and 9 with rainout date on June 10, 2004. 

Registration Chairman:  No report.

Concession Chairman: Karla’s Cafe. Thank you for another great season.  Thank you also for all of the parent help in the trailer.

Publicity Chairman: Phil.  We will ask John for access to the Web so a new publicity chair can keep the Web site current.  The board would like to see the site used to inform parents on at least a weekly basis. Field conditions for Saturday morning would be ideal if posted.

Awards/Pictures Chairman: Doug. Trophy – In and ready for distribution.Pictures  - Pictures are in and ready for distribution.  Board members will help with distribution.
