Board Meeting
May 6, 2003, 7:15 p.m

The meeting was called to order by Vice-President, Maria Harrison,
Present were: Jerry McClatchey, Karla Kindrick, Ali Basaran, Chris Harrington, Joe and Amy Fistrovich, Janice Kovach, Doug Harvey, Karen Teach, Jim Peters Vicki Peyton, Jean Aikman, Joerg Pfieffer (apologies for spelling), and later, Phil Melangton.

President: Maria for Phil. Vickie Peyton was introduced to the Board as our Registration Chairperson. Thank you Vicki for volunteering!
Vice President: Maria and Amy (Travel Coordinator)
Travel tryouts will be Tuesday, June 3 and Thursday, June 5, 2003 with Friday, June 6 as a rain date.
Working the sign up table at tryouts – Maria, Amy, Jean and Karen. Most of the Board will be there to help oversee and help evaluate (Joe, Ali, Jerry, Andy Harrison, Phil, Jim).
Applications for coaching will be available at tryouts.
Summer camp brochures/registration forms will be available at tryouts.
Travel form is on web site and will be passed out with the last newsletter to encourage our rec players to tryout for travel. We especially would like to field at least one girls’ team.
League Cookout – May 31, 2003 12:00 p.m. to 4:00 p.m. – Put on by the Board during the last travel games of the regular season. This is open to all rec and travel families. This flyer will be passed out with the newsletter to rec. Come out and enjoy some soccer, food and fun!
Excluding uniform costs, Amy requested that all travel costs be set out by the tryouts to inform parents what the true expectations are of them. Summer camp is included in the travel fees.
Discussion about having rec players and DCMS players play in 3v3 tournaments and other regular tournaments for the summer to encourage them towards travel fun. Do not need to be carded for 3v3 but must get with Karen for regular tournaments.

Treasurer: All but a few minor bills are paid and Snack Pack money is not deposited yet. Constitution and By-Laws are complete.

Secretary: Jean. Thank you to Maria for taking last month’s notes.

Team Rep. Coordinator: Janice. Great job at team rep meeting and coordination of uniform distribution, etc.

Coaching Director: Jerry.  Summer Camp – Color brochure is finalized and will be mailed to all league participants. Karen sent list to ProExcel and will send again. Deadline for registration is in July – approximately one week before the July 14-18 camp. The cost is: $74 per player with a $5.00 discount for additional children in a family ($69). Times: 9:30 a.m. – 12:30 p.m. for Team and 5:00 p.m. – 8:00 p.m. for Individuals. We will try to advertise this and get players from outside the league to participate. Jerry will put a brochure up at Indy Indoor. Need 40 players to sign up to break even. Still need Host families for the trainers.
Parent appreciation – Jerry has received many positive e-mails from parents regarding this season in rec. He will compile and send to Board. Thank you parents for appreciating the volunteers.
Player Evaluations – forms will be distributed to coaches this weekend 5/10 so they can be completed by the final weekend. Because this is the third year, we can see player progress and coach successes through evaluations.
FEE INCREASE FOR NEXT YEAR – Jerry handed out a cost per player/team for rec and the board discussed a necessary fee increase. Phil made a motion to increase the fees $10 per child and Maria seconded. All members present were in favor. This increase will still make us competitive with surrounding leagues.
Best Coach Award – nominations are due May 10, 2003. The award will be given on May 17, 2003.
Possible field expansion – A meeting was held by the School Corporation who invited representatives from all sports interested (soccer, baseball/softball and football) to help with the proposed use of the 85 acres owned by the School Corporation behind Doe Creek. Jerry attended and gave a proposal for a 400 member soccer league. Waiting on any news from the School. If any news is forthcoming before Fall league set up, this may affect our field layout in the Fall.
Discounts – Board members received their discounts tonight (mid season). Coaches and Team reps receive theirs when they come to their respective meeting (unless special arrangements are made with the Team Rep Coordinator or Coaching Director). All coaches are to receive monies for each team coached. Need to mindful of this in the Fall.
Reminders to Rec Players/Parents – to be put in last newsletter. Players need to be in the league issued uniform – shorts and socks included. Shin guards are worn under socks, and girls are not to wear jewelry, especially earrings. Hair ties only – no clips, barretts, beads, etc. Only soccer cleats or tennis shoes. Baseball and football cleats are not safe on the soccer field for the other players. This is for the safety of all playing.
Fall Season is September 6, 2003 through October 18, 2003 with 7 Saturday games and one week night game.

Registrar: Karen. Will print out two sets of labels: one for ProExcel and one for registration forms to mail to all participating players approximately one week before June 28, 203 sign up. Jean will help with distribution.

Referee Assignor: No report. The board is curious if Dana is aware of all of his resources to cover games. Discussion about possibly having one referee come to the field unassigned for the day of games. That person would get paid for showing up whether or not they actually refereed. This will hopefully alleviate late starts and occasional no-shows. Need to vote on for next year.
Uniform Committee Chairman: Rec. Jim. - T-shirts are selling well – approximately 20-25 sold. Need to get a t-shirt for Karla and Bill to wear in the concession stand to advertise them. New uniform samples for Fall were looked at. These were much nicer material, especially the shorts. The increase in costs to league is only $2.00 per set because they have the MLS logos and team names on the front. The NPUnited logo can be put on the sleeve and the player numbers on the back. Each player would receive an MLS poster. Coaching Tips booklets were free with this also. The only downside seen with this is that there are only twelve colors to choose from. We will vote on this at the Summer meeting.
Field Maintenance: Chris. New nets are in for U8 fields. Field 5 is sanded to keep the mud down. Need to put down topsoil and re-seed in the Fall. We will reconfigure fields in the Fall depending on condition of the school grounds that are available. The small Rubbermaid storage bin for the fields to keep paint , etc. are working out well.

Rec. League Coordinator: Ali. We will not have Sunday games again. Parental complaints were received and noted.
Travel League Coordinator: Report listed previously in these minutes.

Registration Chairman: Welcome Vicki! For her first official duty she will work Early Bird Registration on May 17, 2003 at the fields. We will coordinate who will work registration dates and if it will be at McDonald’s or elsewhere via e-mail during the next few weeks. We will use Soccer Track at registration with laptop. Karen will print out all current player information and we can correct the form on-site. Phil is buying a printer/scanner.

Last Early Bird must be postmarked by May 24, 2003.
June 28, 2003 at McDonalds
July 12, 2003 at McDonalds
July 14, 15 and 16 at Summer Camp on fields

Concession Chairman: Karla’s Cafe. ALL teams are participating in the Snack Packs! Concessions doing well. Jerry looking into a set up something like the Football league trailer which is more permanent than our current trailer. We will need donations from community sponsors (like Meijer).

Publicity Chairman: Phil for John. Advertisements need to be run in Daily Reporter and the New Pal Press for tryout dates, registration dates and summer camp. Cell phone number is 910-6317 with outgoing message only for parents to call for field conditions. Discussion on ease of website updating regularly with registration forms, newsletters, flyers and minutes. Also weather and web updates. Phil checking into having our large sign put in front of McDonalds for 2 months to list dates for travel tryouts, registration and camp. Check with John on web access for laptop and web updates.

Awards/Pictures Chairman: Doug. Pictures are not in yet but should be by Friday, May 9, 2003 for distribution on Saturday, May 10, 2003. Awards will be handed out May 17, 2003. They are from B & R Engraving again.
