Board Meeting
June 25, 2002, 7:00 p.m.

The meeting was called to order by President, Phil Melangton.

Present were: Jerry McClatchey, Karla Kindrick, Dana Merrick, Jim Peters, Chris Harrington, Doug Harvey, Joerg Pfiefer, Karen Teach, Ali Basaran, Maria Harrison, Amy and Joe Fistrovich and Jean Aikman.

President: Phil. No report at this time. Will help where needed.

Vice President: Maria. Travel updates: The travel teams are as follows: U10 will play B league with 12 players; U12 will play A league with 17 players and U14 will play B league with 17. The U10 and U14 may move to A league for Spring, depending on performance in Fall Season. Forms are due to CIYSL by July 5. Coaches need to get their blackout dates together for those forms. Fees are $115.00 for U10; $125.00 for U12 and $135.00 for U14.

Treasurer: Joe. Received books from Archers. Finishing forms for bank transfer of signatory. Need to pay uniforms, camp costs, referees, paint and supplies, etc. Would like to purchase lap top computer but do not have the funds at this time. Distribution of discount for coaches, team parents, managers, board members, etc. will be at the coaches meeting, team rep. meeting and board meeting.

Secretary: Jean. The June 5, 2002 minutes were posted on the web site. Will get e-mail distribution for board members and e-mail minutes to them also.

Team Rep. Coordinator: Team rep. meeting is set for September 3, 2002 6-7 p.m. at New Palestine Elementary.

Coaching Director: Jerry.
MLS Camp – 32 signed up. Would like that number to increase.
Coaches Clinic – July 20, 2002 8:30 –10:30 a.m. by MLS team NPE
Coaches Meeting – August 16, 2002 5:30 – 8:30 p.m. at Sugar Creek Elementary The coaches meeting will give out rosters, discount for coaching, IYSA rep. will give coaching tips, paperwork. Try to get short video on Referee Rules. Cost from IYSA is being negotiated for presentation and paperwork.

Registrar: Karen. Registrations due to IYSA: Travel – August 1, 2002; Rec. League – September 15, 2002. We will have Rec in before the deadline so we will be covered by insurance for the first games. Registration numbers: Early - 72 players, June 11, 2002 – 11 players and June 19, 2002 – 45. Total – 128 for rec. Going to send out registration forms to past players by July 1, 2002 to beat the postal increase. (Jerry, Maria, Phil and Karen). One problem noted with registration is people who have never played with the league sign the form that their child’s birth certificate is on file with the league. Will match up registration forms with birth certificates ASAP. Working registration on July 13, 2002, 9 am – 1 pm at the Food Court – Phil, Ali and Karla. Working registration at NPE during MLS camp July 15, 2002 – Phil and Ali.

Referee Assignor: Dana. Enough referees are available to begin scheduling.

Uniform Committee Chairman: Rec. Jim. - Working to get different colors for as many teams as possible. Only U6 can have yellow teams due to referee shirt colors. Will get ordered as soon as teams are set. Goalie shirts discussed – not returned at the end of season. Will check on goalie shirts vs. mesh shirts for each team. Uniforms will be ordered by August 6, 2002.

Field Maintenance: Will call Bob Yoder to see if original architect plans are available to get a field layout to scale. Put layout on web site when finished. Keep U6 by Administration Building. Need to check out the availability and condition of area by the woods/tennis courts.

Rec. League Coordinator: Ready to input data as soon as registration ends. Teams should be set by July 29, 2002. Players will be notified by August 22, 2002. Practices may start August 26, 2002. Game Schedule is Saturdays from September 7, 2002 to October 19, 2002 with one weekday game in September for eight games total.

Travel League Coordinator: Amy. – Need to order uniforms ASAP because some are backordered from supplier. Must have by Aug. 24 Muncie Tournament. Uniform try-ons are Wednesday, June 26, 2002 and Friday June 28, 2002 as follows: U10 – 5:30 – 6p.m.; U12 – 6 – 6:30 p.m.; U14 – 6:30 – 7 p.m. Cost of travel uniforms – Adult sizes - $111.50; Youth - $97.50. prices vary due to mixing of sizes. Socks available in Med. and Large only. Jerry will coordinate registration of all three teams for the Muncie tournament.

Concession Chairman: Karla. Menu about the same. Add chips. Serve Pepsi products only. Jean working on getting community donations for a trailer so we do not have to rent. All teams have at least one duty for concession. See if the U6 parents can be exempt from working depending on number of parents available since their fields are not near the concession trailer.

Publicity Chairman: Ad are running for the upcoming registration dates.  Also getting e-mail addresses of Board members on web.

Registration Chairman: Position still open. Karen, Jerry and other board members are handling responsibilities. See Registrar.

Awards/Pictures Chairman: Doug. Received three bids for pictures. Decided to go with Spicklemire. Picture day is September 14, 2002. We will stay with B&R Engraving for awards. Trophies will be awarded for Fall, 2002.
