Board Meeting
June 3, 2002, 7:00 p.m.
The meeting was
called to order by President, Phil Melangton. All listed Board
members present except Jim Peters and Chris Harrington and
including new member, Doug Harvey.
The Bylaws need
updated to reflect the following Board positions and their
responsibilities which were discussed at the meeting.
President: Shall be the liaison for all IYSA matters.
Shall oversee all league functions for the Recreation league and
coordinate other Board positions. Shall follow up to be sure the
Recreation league is running smoothly. Shall run Board meetings.
Vice President: Shall serve as President in absence of
President. Shall oversee Travel league.
Treasurer: Shall present a budget for Board approval
annually. Shall maintain all league books, including separate
books for the Recreation and Travel league. Shall pay invoices
and make deposits for league as needed. Signators for the
accounts will be as follows: Recreation books: Treasurer,
President and Concession Chairman. Travel books:
Treasurer, Vice President and Registrar. Shall prepare monthly
reports for Board meetings. Shall maintain non-profit status.
Secretary: Shall take minutes at Board meetings and
distribute to board members and public via the Web site.
Team Rep. Coordinator: When teams are set up after
registration, this person coordinates the notification of team
representatives of general league information, uniform pick-up,
etc.
Coaching Director: Coordinates coaches’ training. Packets
to coaches regarding age appropriate skills, games to work on
with children.
Registrar: Coordinates all paperwork and payments with
IYSA for both Recreation and Travel.
Referee Assignor: Schedules referees for all Recreation and
Travel (home) games. Notifies new recruits of appropriate
training available.
Uniform Committee Chairman: Shall get uniform samples from
Avon Apparel in the summer for Fall/Spring use. Shall coordinate
ordering, distribution of uniforms for Recreation league.
Field Maintenance: Shall work to maintain fields and
goals. Fields are numbered. Post schematic of fields at
Concession Stand so when fields are moved due to rain, poor
conditions, parents can find the appropriate field.
Rec. League Coordinator: Assist with setting schedules and
assigning teams. Work with Coaching Director on coach
availability. Distributes evaluation forms to team
representatives (or concession stand for distribution).
Travel League Coordinator: Coordinates paperwork to/from
IYSA, payments to referees, etc. to Travel team managers. Is
responsible for coordination of all Travel uniforms.
Concession Chairman: Responsible for maintaining
inventory/cleanliness in concession trailer and handing out
newsletters to team representatives each week with snack packs.
Responsible for getting snack packs ready for each team.
Publicity Chairman: Responsible for any articles in the
area papers for advertising the league happenings. Responsible
for set up and maintenance of website. (NPUnited.org)
Registration Chairman: Responsible for paperwork for
registration, manning registration nights, coordinating with
Publicity Chair the advertising of registration times, sites.
Awards/Pictures Chairman: Shall oversee purchase of all
Recreation awards. Shall oversee taking bids, etc. and
coordinating the photographer for league pictures and
distribution of such to team representatives.
Other issues discussed at the meeting were:
New Board Members: Doug Harvey is the Awards/Pictures
Chairman
Kathy Ratekin is assisting with the Uniform Committee.
Registration dates/times: 6/11/02 @ 5:30 –8:00
p.m.(working: Amy, Phil and Jerry); 6/19/02 @ 5:30 p.m. – 8:00
p.m. (working: Amy, Phil and Jerry); and 7/13/02 @ 9:00 a.m. –
1:00 p.m. (working Ali and Phil) All at the Food Court at New
Palestine.
Coaches clinic – notification to coaches at time of registration;
MLS clinic is on July 20, 2002. Additional clinic will be
available.
Need a disclaimer on registration forms for pictures appearing on
web site, in local papers, etc. Still need a Registration
Chairman for the Board .
Treasurer: Nancy Archer (past Treasurer) is on vacation.
Books have not yet been transferred. No report at this time.
Payment of Referees: Recreation referees will be paid cash at
time of service via a voucher at the concession stand that must
be signed and questionnaire filled out. Weekday games may have to
wait for payment until Saturday as the concession stand is
currently not opened during the week.
Future Purchases: The Board will consider purchasing a lap top
computer and scheduling software when the budget is made.
Scheduling: The league will try to have only Saturday
games for the Fall session. Spring session may have weekday
games. The games will be spaced out a little for easier parking
and concession duty.
Publicity: John Fox will check into a Hot Line which is
strictly voice mail for notifying parents of rainouts. People are
encouraged to check the website. Advertisement for travel tryouts
were in the New Pal Press May 30, 2002. This week registration
dates are in the New Pal Press and the Greenfield Reporter. The
New Pal Press is charging $20 for additional ads – run it anyway.
The Website is up and running at

to post rules, history of organization, a few more pictures,
finish calendar, field layout, get all forms (camp, registration,
etc.) on that are printable. Ready to link to IYSA. Cost for
hosting $116.70. WOW! Thanks John!
MLS Camp: We have enough “campers” to cover the cost. Need
to cut off registration one week prior to camp to ensure the
correct number of coaches per children. Encourage registration at
our league registration.
Travel Uniforms: Samples were shown from Avon Apparel. The
Addidas had all team colors: Red, White & Black. The Diadora
could only come in Red/White or Red/Black. Prices were
comparable. Preferred Addidas. Socks: $12.00 w/logo. $48.00
shirt; approx. $33.00 alternative shirt (not sure of printing
cost)/$24.00 shorts. Approximate cost: $129.00 (includes two
pairs of socks.) Parents are responsible for paying each child’s
cost of uniform per item ordered.
