Board Meeting
February 9, 2004 7:00 p.m.

 

The meeting was called to order by President, Phil Melangton.

Present were: Jean Aikman, Jerry McClatchey, Ali Basaran, and Beth Dockins.

President: Phil. 

Vice President: No report.

Treasurer No report

Secretary: Jean. Minutes approved from January meeting. Still need new Board members’ cell phone numbers.

Team Rep. Coordinator.  Phil for Angie.  Mr. Kern has been contacted for NPE cafeteria for team rep. meeting on Wednesday, April 7, 2004.

Coaching Director: Jerry. 

SUMMER CAMP IS SET FOR JULY 6-10, 2004.   Morning sessions will be for travel team and evening will be for community youth.  COST:  $75.00 1ST player with $70.00 per additional family member.  We will have three coaches available.  If there is a greater demand, we can add another coach.

Coaches Meeting:  March 22, 2004.  NOTE DATE CHANGE.  This will be informative with handouts.  Training will happen with ProExcel Coaches on April 10, 2004.

Registrar: Phil for Karen.  New software is truly new and improved.  Our data fit with IYSA programming.

Referee Assignor: Jerry for Dana.  There were approximately 13 new referees certified from New Palestine. Great job!

Fund Raising Chairman:  Phil for Ryan.  Discussion about proposed letter for parents to work with their employers to get donations.  Need tax statement and promise to send tax letter. Need to condense to one page.  Suggestions were made that a contact name be given to Ryan and he will contact on behalf of NPUnited so the employee/parent does not have to do the leg work.  Ryan has agreed to do the printing and copying but needs assistance in stuffing, stamping.  Will get timing at March meeting when letter finalized.

Uniform Committee Chairman: Rec. -  Beth Dockins. “Drop dead date” for uniform ordering is 3/1/04 with distribution at Team Parent Meeting 4/7/04.

Field Maintenance: Phil and Jerry for Joe and Brian.  Need key made to storage.    

Rec. League Coordinator: Ali. Our new software has multifunction – treasurer, registration, uniform coordination, etc.  Just about everything but publicity.  Now we must use this software with IYSA so by Fall, data will be transferred, updated.

Travel League Coordinator: Phil for Amy.  Would like to have a meeting in March with Team Managers /Coaches/Travel Board members to coordinate information back to parents regarding uniforms, travel tournaments, etc.  Travel try-outs will be June 8 and 9 with rainout date on June 10, 2004.

Working February 14, 2004 – Ali, Beth , Jerry and Phil (part time)

Working February 19, 2004 – Jerry, Vicki and Ali

Uniforms for try-ons, t-shirts for sale, flyers for summer camp with advertising and extra Fall awards should be present at McDonald’s for registration.

 Data entry coming along.

Concession Chairman: Karla’s Cafe. Karla absent.  Joe F. will work with Karla to get better record keeping for concessions.

Publicity Chairman: John. Keep posting minutes.  When sponsorships come in John and Ryan to work together to get corporate sponsorship on web.  Registration dates are being published in local papers. Registration form is on web to print and mail.

Awards/Pictures Chairman: Phil for Doug. Trophy - Phil brought several examples from B&R Engraving and Chuck came from Flying “W” with display.  Those present voted to approve trophy from Flying “W” with marble base and composite top in gold and silver.  Cost is $4.70 each.  Chuck assured us that we would have trophies by May 7 for distribution on May 22, 2004.  We can return extras for 80% credit.   Pictures  - Ray will do pictures again. Date:  April 17, 2004.  Try to do on Varsity field.  Games will be later that day to accommodate timing.  1st come, 1st served one hour prior to game time.  Approximately 40 teams.
