Board Meeting

September 14, 2004 7:15 p.m.

 

The meeting was called to order by President, Phil Melangton.

Present were: Jean Aikman,  Doug Harvey, Ali Basaran, Jerry McClatchey, MK Balish, Ryan Jennings, Joe Fistrovich, Joe Baker, Karen Teach, Eric Dewey, Dana Merrick, and visitors:  Jennifer Waters, Ed Pluckebaum and Tom Hilton.

President: Phil. Welcome to visitors and potential new members.  Introductions made.  Thank you for coming. 

Vice President.   No report.

Treasurer: Joe.  Current balance – checking $-0-; savings $27,189. Snack pack monies are not deposited and referee fees ($260 per week) and Board fees still outstanding along with trophies ($2,000), paint ($1,100) and phone bill (approx $20/month).

Secretary: Jean. Minutes approved from August meeting with no changes.  By-laws will need updated with new positions/responsibilities as the Board changes and grows.

Team Rep. Coordinator.   Phil for Angie.  Team Rep meeting went great. Thanks, Angie

Coaching Director: Jerry. 

            1.  Small sided issues that have surfaced.  U-8’s are capable of kicking the ball into the goal from the kick-off.  Jerry to e-mail coaches to instruct children to pass, dribble, etc. Also, no offsides will be called but coaches are to discourage keeping a player at the goal for “easy goals”.   Touches on ball and learning ball control are the principal behind the small-sided format.  An arc will be painted in front of the goal. If a defensive player touches the ball in the arc area, a goal will be called.  If an offensive player touches the ball in the arc area, it is a goal kick.  If the ball stops in the arc area but is not a goal, it is a dead ball.  New rules will be issued to referees also.

            2.  Ryan has agreed to be Coaching Director – understudy for remainder of season and take over in the Spring, 2005.  Some challenges are: number of coaches lacking in the upper ages; encourage coaches to play the small sided for its intent – not running up the score but learning touch control and team playing; have assistant coaches take the less skilled group. 

Registrar and Registration Chairperson: Karen. 

1.     Committee set up for registration with Ali Basaran, Karen Teach, Jodi Kramer and MK Balish.  This committee will be responsible for all registration issues - from data input, registering our rec and travel league with IYSA to working registration dates.  In Spring, try to use the lap top at registration for data input.  Other board members are encouraged to help out at the actual registration dates. 

2.     IYSA is requiring Risk Management Coordinator – Heather Teach has volunteered to oversee.  This requires all coaches, etc to get criminal background checks.  Only need one per person per year.

2.     Fee Structure for Spring, 2005:  There will be no discount for no uniform order and no discount for multi-child in family.  $55 for U-6; $65 for U-8 through U-14.  Early bird will be a $5 discount per child on October 23, 2004 only.

3.     There will be a $25 surcharge for special requests that are honored.  Money will be refunded if the request is not honored.  Ali made a motion, Ryan 2nd it and the vote was unanimous from Board present.   

Referee Assignor:  Dana.  Almost all games covered.  Dana has agreed to continue. 

Fund Raising Chairman:  Need Fund Raiser Chair.  Ryan. Small silent auction will be held at Varsity Field during the picture taking this Saturday, September 25, 2004 with items donated to NPUnited during corporate fund raising campaign.  Ryan to manage.

Uniform Committee Chairman: Rec. -  MK.  Thank you MK for an unbelievable job in getting uniforms sorted and to the Team Rep meeting on time.  This has earned you the title of Uniform Committee Chairperson.

Field Maintenance: Joe.  Field set up is great.  Thanks gentlemen.  Need trash cans on U-6 fields.

Rec. League Coordinator:            Jennifer Waters is the new Rec. League Coordinator.  Thank you for accepting this Board position!  She will be responsible for scheduling; working with coaching director to place coaches; coordinating use of fields with school corp., etc. and any conflicts that may occur with some coaches double coaching; and overseeing/assisting Age Group Coordinators. 

            Age Group Coordinators:  Job description – U6, U8, U10 and U12-16 each need a coordinator.  (a)  Liaison between parents and Rec League Coordinator taking care of any situations that arise in the age group assigned.  (b)  10 additional hours per season helping out on Saturday mornings as “Officer of the Day” as scheduled – overseeing that referees and concession workers and other volunteers as needed show up, newsletters, trophies, pictures and snack packs are distributed, opening and closing of fields, bathrooms, etc.

            Eric Dewey has volunteered to be the U8 Age Group Coordinator.  Thank you!

Equipment Exchange:  Eric Dewey and his wife have agreed to coordinate this effort for the Spring, 2005. Thank you!

Travel League Coordinator:  Joe F. for Amy. Amy has some travel uniforms that she is going to sell on Saturday morning when she works the fields and anyone is welcome to order warm-ups, bags, etc with NPUnited logo from her at that time.  All travel teams are paid in full.  Travel teams have not registered for Fall tournaments but need to do so this week.  Some tournaments are closing registration.

Concession Chairman: The NPHS Soccer Boosters are managing the concession stand and allowed to sell what they wish.  The snack packs are NPUnited money and responsibility.  Teams will still have to provide volunteers to work concession each Saturday.

Publicity Chairman: Great newsletter Brian.  Thank you. 

Awards/Pictures Chairman: Doug. Trophies  -  Logo is set for trophies.  They will be handed out October 23, 2004. Pictures  - Picture date is this Saturday, September 18, 2004 at the Varsity Field or NPE if raining.  

 

 

**OCTOBER 16, 2004 COSTUME CONTEST**  Doug will oversee again.  Brian to put article in newsletter with rules.
